Terms & Conditions of Hire

Spencer Graham Coaches Ltd

1.        For those not on account a £100 non- refundable deposit is required to secure your booking and the remaining balance must be paid in full 14 days prior to the trip. Payment can be made by bank transfer.

2.        Deposits are Non-Refundable.

3.        Cancellation of Bookings: The following charges apply for cancellations of bookings:

Within 0-3 days of Departure -  at 0% refund

Within 4-7 days of Departure - at 25% refund

Within 7-30 days of Departure -  at 50% refund

More than 30 days of Departure - at 75% refund.

Please Note: Confirmed bookings for June and July, which is our busiest period are non-refundable. Bookings may be transferred to an alternative date (at the Company’s discretion – subject to availability) with minimum of 7 days’ notice, but will incur a £20 administration charge per change.

4.        Parking fees where applicable are additional to the price quoted unless otherwise stated. It is the responsibility of non-account customers to source any parking fee either prior to the trip or on the day where necessary.

5.        It is the customers responsibility to check that all details on the Coach Hire Agreement are correct, therefore, it is also the customers responsibility to inform us of any amendments where necessary. Please Note: this may have an effect on the cost that has already been provided based on information prior to amendment.

6.        Amendments made to the agreement less than 7 days before the trip will be subject to a £20 administration fee per change.

7.        Where the booking is changed or cancelled by reason of unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised. These circumstances, which we call force majeure, include, but are not limited to, war or threat of war, riot, civil strike, terrorist activity, industrial disputes, fire, quarantine, epidemic or health risks, natural or nuclear disasters, port and terminal closures and adverse weather conditions may be subject to charges or short notice cancellation.

8.        The driver has the right to leave the destination 30 minutes after the departure time, late departures from destination will be subject to additional charges. For airport departures, the coach will wait up to 2 hours after which an additional £40 per hour will be charged which must be paid before departure (account holders will be invoiced). This is subject to drivers’ hours not being exceeded on the original coach – if this is the case then we will have to dispatch another driver and possible coach which may incur extra charges.

9.        Spencer Graham Coaches Ltd are not responsible for reimbursing any costs incurred due to a late arrival at a destination. If the company gives its advice on journey times this is in good faith, but in today’s conditions does not guarantee the completion of any journey at a specific time and will not be liable for loss or inconvenience caused by any traffic delay or breakdown.

10.     NO HOT FOOD allowed on board any of our vehicles. If cold food is brought on board a vehicle please dispose of rubbish either in bags provided on the coach or by taking it home with you.

11.     Regular comfort stops will be planned into your itinerary.

12.     All vehicles have a NO SMOKING / VAPING policy on board.

13.     Strictly NO ALCOHOL to be on the coach without consent.

14.     Security Deposit | For late night club/pub runs, and other ‘social’ events, a refundable security deposit will be charged at our discretion, in addition to any other charges. Once the vehicle(s) have returned to the depot any costs incurred in cleaning and/or repairing the vehicle(s) will be subtracted from the security deposit before the balance, if any, is refunded.

15.     On executive coaches, bottled water can be also available for an additional cost, please request at time of booking.

16.     All passengers must ensure that they have appropriate travel insurance as we will not be held responsible for lost/damaged luggage.

17.     Spencer Graham Coaches Ltd take no responsibility for lost property or articles left on the coach as they are done so at the owner’s risk, any unclaimed items will be disposed of after four weeks.

18.     All items of luggage must be clearly labelled with contact details otherwise it will not be permitted on the coach.

19.     For UK Tour Work, prices quoted are approximate until we are in receipt of the full itinerary.

20.     For Tour Work (UK), a local excursion is deemed to be anything within a 50km / 30mi radius per day.

21.     All passengers must remain seated in the correct position throughout the journey with their seatbelt on. Any passenger not adhering to this will compromise any possible claim for personal injury. All personal items are carried at owners’ risk - it is your responsibility to ensure that your items are secure.

22.     The organiser will be liable for the cost of damage sustained to the coach by any member of their party.

23.     Coaches must be left in a satisfactory condition - should the coach require valeting following a trip, you will be billed accordingly.

24.     Whilst on your trip you should consider other people, observe any local rules, and behave in an acceptable manner. For the convenience of the majority of passengers, drivers will on no account wait for stragglers or members of the party who fail to join their coach at the pre-agreed time.

25.     We reserve the right to withdraw our coach/coaches immediately should our drivers be subjected to any abusive, threatening or violent behaviour.

26.     If you have a complaint during your trip you should tell the driver/representative at the earliest opportunity so that they can do their utmost to resolve the problem immediately. If they are unable to resolve the problem to your satisfaction, please forward any complaints/grievances in writing to the Managing Director.
